congress and exhibition. Please read through this manual as it will take you very little time now and could save you a great deal of time later.

SECTION 4: Exhibition Stands
To ensure the smooth and efficient installation and dismantling of your booth, an official Stand Builder has been appointed (see SECTION 1:
Contact Information). Booth furniture and accessories are available for rent (please refer to the enclosed catalogue and order forms at the end
of this manual).

Technical Information and Regulations for Shell Schemes Booths
1.
All basic shell scheme booths will be designed and built by the Official Contractor.
2.
All booths are on rental basis.
3.
Exhibitors are not allowed to make any alterations to the structure of the booths or remove any integral parts from the booths. Exhibitors
wishing to remove or change the location of any standard equipment (e.g. spotlights) within the booth should indicate clearly on the
location plan and forward it together with clear instructions to the Official Contractor before Friday, August 9, 2013.

No additional booth-fitting or display may be attached to the standard booth structure.
5.
No free standing booth-fitting or display(s) may exceed a height of 2.5 meters or extend beyond the boundaries of the site allocated.
This includes company names, advertising materials and logos provided by the exhibitor.
6.
No tape, nail or fixture of any kind is allowed to be affixed to the partitions, floor, ceiling or fascia. Exhibitors are liable to any damage
caused to their booth fixtures, fittings at the congress.
7.
All electricity power points installed are for machine use only, not for lighting. If the exhibitors or non-official contractors bring their own
lighting devices for booth decoration, they must submit all lighting distribution details and pay the light connection charges to the Official
Contractor.
8.
The package included socket or power supply is for the use of one electrical appliance / machinery only. No multi-plug is allowed. Any
additional power needed must be ordered through Mind Rio.
9.
Exhibitors requiring additional equipment should contact the Official Contractor latest by Friday, August 9, 2013.

Technical Information and Regulations for Designer/Independent Contractor Stands

Exhibitors using independent contractors are required to submit the following for approval no later than Thursday, July 18, 2013:
1. A scaled drawing (including elevation views) of the proposed booth to be built.
2. A list of all Electrical / gas powered devices / appliances to be installed in the booth.

No free standing booth, fitting or display(s) may exceed a height of 2.5 meters.

All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, or damaging the premises.

Exhibitors are kindly requested to allow sufficient see-through areas that ensure clear views of surrounding exhibits.

Booth platforms / floors higher than 4.5cm are required to provide a ramp for handicapped access. This must be incorporated into the
design of the booth and must be included in the booth space provided.

Multi level structures are not permitted.

The Organizers will NOT approve stands that do NOT comply with the accepted standards until the necessary changes have been made.
Work cannot commence until the exhibitor layout is approved by the Organizers.

We recommend that Exhibitors using Independent Booth Contractors include a site visit in the planning process to assure a smooth and
well planned set up. Please contact Ms. Deborah Soares of the Sofitel Hotel and Convention Center at [email protected] to
coordinate a meeting.

Exhibitors are required to submit the name and contact details of their respective construction company to Marc Lawrence at:

SECTION 5: Exhibition Technical Information
Hall Specs
 Hall Name: Foyer - Level E
 Ceiling Height: 3.00 meters
 Floor Finish: Carpet. On the way to the exhibition hall the marble floor must be protected. Only trolleys with rubber tires can be used!
 Rigging Options: No rigging is available at the APLA / LACA 2013 Exhibition.
 Electrics and Connections: The voltage in the venue is 220V single phase and/or 380V triple phase. Voltage transformers are not available.
The hotel is not responsible for damage to third party electrical equipment. According to the regulations, the electrical installations for the
exhibition will only be connected to the power supply after being checked and approved by the official contractor. To ensure maximum
safety, all electrical connections to the power supply may only be carried out by the official contractor.
Loading and Unloading
 Loading and unloading of materials should be made through the JIRAU:
Av. Nossa Senhora de Copacabana, 1417, CEP: 22.070-010 - Rio de Janeiro, Brazil. Please refer to Map on page 14.
 The JIRAU is open from 07:00 to 17:00. It is only reserved to load and unload materials exclusively. It cannot be used for parking. After this
time, deliveries should be made through the service entrance:
Av. Nossa Senhora de Copacabana, 1417, CEP: 22.070-010 - Rio de Janeiro, Brazil. Please refer to Map on page 14.
 The JIRAU entrance measures 250cm high.
 Municipal logistic regulations state trucks cannot circulate in the south zone of Rio de Janeiro during the following hours:
07:00 to 10:00 and 17:00 to 20:00.

Important Information:
 The hotel is not responsible for carrying materials from the JIRAU to the Convention Center. This service must be provided by the
supplier/transportation company.
 All incoming and outgoing materials will be checked and documented by the hotel’s security. No boxes should be sealed before they have
been inspected by the hotel’s security.
 The venue must be informed (at least 24 hours in advance) of any type of material whatsoever that will be delivered to the hotel.
 To load and unload materials, exhibitors must use the load and unload elevator located at the back of the hotel. It is not allowed to use
the social elevators to load and unload material.
 Employees from service companies/stand builders will not be admitted in the Hotel if they are not wearing a formal uniform. It is not
permitted for employees of service companies/stand builders to wear shorts, sleeveless T-shirts or sandals/flip-flops anywhere in the
hotel.
 Empty crates and packaging material must be removed from the Hotel no later than 21:00 on Tuesday, September 17, 2013. If this is not
done, a waste removal fee may apply. Please contact the Official Shipping agent for available storage options (see Section 1: Contact
information).
 All materials must be removed from the Hotel at the right time because the Hotel does not have storage room and because of that they
will not take responsibility for it.
Fiscal Receipts
All materials must have a fiscal receipt to get in and out of the hotel. The Sofitel does not provide these fiscal receipts. The fiscal receipt of all
materials for the event must be under the company exhibitor name, (it cannot be under the name of the hotel as the Hotel has no
responsibility on fiscal matters and customer claims) with the federal number and/or all legal numbers and registrations. Fiscal receipts must
be addressed to: Av. Nossa Senhora de Copacabana, 1417, CEP: 22.070-010 - Rio de Janeiro, Brazil.
This must include the right material quantity and its single and total price.

Please note:
 It is not allowed the entrance of any equipment/product without fiscal receipt.
 The Convention Center does not provide receipts.
 The original fiscal receipt must be with the exhibitor at all times.
Deliveries of Packages to Venue
The earliest date for deliveries to the venue is Monday, September 16, 2013. The Hotel will not accept deliveries prior to this date as they do
not have storage facilities. Packages should be labeled accordingly with the exhibitor’s company’s name and the name of the responsible
person (who will be in the event), and the name and date of event.








All Exhibitors will receive an Exhibitor badge displaying the exhibiting company’s name. Individual participant names will not appear on
badges and may be used interchangeably between staff members.
Two exhibitor badges will be given for the first 9sqm booked and one additional badge for each 9sqm thereafter. Additional exhibitor
badges can be purchased for a charge of $170.
To order additional badges, please use the Exhibitor Badge Order Form on the next page. Please return the form to the attention of: Marc
Lawrence at [email protected], no later than Thursday, July 18, 2013.
Exhibitor badges give free access to the exhibition area, coffee breaks and welcome reception ONLY. To access the Symposia sessions, full
registration is required and can be purchased online via the congress website by clicking here.
All personnel are required to wear badges to access the venue. Company representatives not wearing their badges will not be allowed to
access the exhibition.
Company name badges are for the use of company personnel for booth staff purposes only and should not be used by companies to bring
visitors into the Exhibition.
Exhibitor’s badges will not be mailed in advance and may be collected at the Registration Desk on arrival.
Service Passes
Stand contractors and staff must wear service passes during the entire set-up and dismantling period. Service passes are free of charge and
may be collected from the Registration Desk on site.

SECTION 7: Rules & Regulations and General Information
Binding for all Exhibitors and their subcontractors
Security
 The Organizers will provide a security guard service in the exhibition hall during off-show hours.
 Neither Sofitel Hotel and Convention Center nor the Organizers can accept responsibility for the security of the stands and their contents
and for damage to, or theft of any goods. Exhibitors are fully responsible for the security of their stand and equipment.
 For ordering additional security, please refer to the contact details provided in SECTION 1: Contact Information.
Stand Cleaning
 The Organizers will arrange for general cleaning of the exhibition premises (excluding exhibits and displays) prior to the opening of
exhibition and daily prior to opening thereafter.
 For ordering daily stand cleaning, please refer to the contact details provided in SECTION 1: Contact Information.
Waste Removal
 Exhibitors are responsible for the removal of all refuse/waste from the exhibition area.
 Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor
concerned.
Parking Facilites
 Parking for trucks is not available at Sofitel Hotel and Convention Center.

Smoking
 The APLA/LACA 2013 Congress is a non-smoking meeting.
Disposal of Material
 It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is
over, the exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing
this property will be charged to the exhibitor.
Damage to the Premises
 Exhibitors are liable for all damage caused to walls, floors, ceilings, columns and fixtures of any kind during the exhibition installation and
dismantling periods.
Fire Insurance (compulsory)
 Exhibitors must be insured against fire. Fire Regulations (General).
 Stand material and fittings must be of non-inflammable materials or impregnated with fire-retardant chemicals. As a general rule, easily
inflammable synthetic substances, foam polyester, and non-fireproof straw and reeds are prohibited.
Poster Hanging, Banners etc.
 Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings, columns and fixtures of any kind within or
outside the installations of Sofitel Hotel and Convention Center is not allowed without prior written authorization.
Liability Insurance
 Exhibitors are obliged to have a public liability insurance that covers all injuries to persons and damages which might cover in connection
with the exhibition.
 We also recommend that exhibitors have additional coverage against loss or damage to exhibition material during transport and during
exhibition times. Please make arrangements for insurance coverage through your company’s insurer.

Insurance (Compulsory)
 Neither the Organizers nor the Sofitel Hotel and Convention Center, their representatives or agents will be held responsible for any loss
or damage to exhibitor’s property. Exhibitors must take precautions to protect their property against pilferage.
 The Organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for
the property and persons of his employees through full and comprehensive insurance, and shall hold harmless the Organizers for any and
all damage claims arising from theft and those perils usually covered by a fire and extended-coverage policy.
 Exhibitors are personally liable for all expenses incurred by the organizer or by third parties in regard to technical services provided.
Promotional Activities
 All demonstrations or instructional activities must be confined to the limits of the exhibition stand.
 Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands.
 Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits.
 The Organizer reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed objectionable.
Special Effects
 Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in
the aisles or on the walls of the hall. Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions
stated herein.

Hermes is the official handling agent for KENES congresses in 2013. We are a full door to door service company, and sole on site logistics
contractor. As such, we are pleased to update you regarding the services and guidance as how we dispatch shipments to the event.
Onsite Handling
Due to security, insurance and organizer policy, Hermes-Merkur is the exclusive handler inside the venue. No other company is permitted to
handle cargo within the venue.
Please note that companies, stand builders & PR companies may make their own arrangements to deliver and retrieve goods directly to the
warehouse/venue entrance.

Shipment Categories
All shipments must be packed, labeled and sent according to the appropriate category below. Please use only the attached labels. Please do
not mix different types of shipments in one box.

Inserts – for Congress bags – Please use only the Green labels provided. Place a sample of your insert on the package itself.

Important Notes
 All goods must be fully insured with all risk coverage.
 Only inserts/ Display material that arrive by the deadline will be guaranteed for delivery to the congress Venue. Any materials that
arrive after the deadline date will not be delivered.
 Only shipments with Handling and Payment confirmation form will be accepted.
Payment Terms
 All invoices must be settled by exhibitors/contractors and agents in advance of the congress.
 In case of non-payment of invoices shipments will be held in storage until the invoices are paid in full.

Shipping Instructions
For any medical devices, an import license from Ministry of Health is required. This process takes approx 30 days to be approved and goods
can only be shipped after license approval. Goods can only be shipped after green light.

Important Remarks
 All freight coming to Brazil for a trade show/fair/exhibition must be shipped on PRE-PAID basis and amount of freight clearly shown on
AWB/BL.
 Freight “AS AGREED” is not acceptable by Brazilian Customs.
 Temporary admission shipments will be re-exported on collect basis.
 Definitive and temporary shipments must be imported into Brazil in separated packages and with separate documentation - AWB/BL
and invoices.
 Import license might be applicable depending on the nature of goods, please make sure to e-mail us copy of invoice before you ship
goods so that we can check restrictions and advise import license formalities.
 Medical and Dental goods importation – most of these items require import license. The process to obtain the license takes about 30
days. Cargo can only depart from origin after the license is issued. The required documentation to apply for an import license is:
certificate of origin; certificate of free sales/ health; invoice; packing list and further if necessary, copy must be sent by e-mail for
application purposes.
 Invoice must be issued whether in English or in Portuguese .
 2 original sets of invoice must be submitted together with AWB/BL–Photocopies are NOT accepted.
 Realistic values of goods must be declared to avoid problems with Brazilian authorities that may question the values declared on the
invoice Brazilian customs inspect all shipments comparing physical cargo with each invoice. In case of any discrepancy, the whole
shipment is subjected to customs delays, fines and/or seizure.
 Kindly make sure all shipments are properly weighted and weight declared on export documents match with actual weight.

4. HOLD HARMLESS LETTER
All shipments coming into Brazil a Customs Power of Attorney / Hold Harmless Letter will be required to perform clearance on your behalf.
This document must be issued on exhibitor’s company letter head paper and signed.
5. BOOTH RENTAL CONTRACT
A copy of booth rental contract is required for customs import formalities purposes. Please make sure the contract is signed off by the same
company acting on shipping documents as exporter, shipper or exhibitor. In case invoice is issued on freight forwarders invoice forms, please
make sure to declare into shipper box freight forwarder details C/O exhibitor details.
6. CERTIFICATES
Certificate of Origin
Required for:
 Shipment proceeding from country members of MERCOSUR (South America).
 Shipment consisting of food, beverage or any other product controlled by Health, Agriculture and Ministry of Defense.
Certificate of Analysis
Required for:
 Shipment consisting of food, beverage, cosmetics or any other product controlled by Health, Agriculture and Army Ministries.
 This document bears chemical percentage break down per product listed on invoice.
Free Sales Certificate
Required for:
 Shipment consisting of food, beverage or any other product controlled by Health, Agriculture and Ministry of Defense .
 This document states that product is currently sold at origin and will cause no harm to human beings.
** Certificates are only required for specific goods controlled by Brazilian Authorities **

7. GENERAL INFORMATION






Trade advertising material, give-away, printed matters, expendable items and material with CPT/CFR values up to U$ 3,000.00 intended
to be disposed in the course of the exhibition can only be imported duty free upon release of import license prior to freight departure
at origin. Duty free request/import license must be processed to Customs authorities ahead of time and, at least, 15 days prior to
shipment departure. This does not insure Duty free/Import License will be authorized. In case Customs performance, on duty free
request, takes more than 15 days, shipment must be held up at origin until we receive authorization and release confirmation from
Customs to proceed with shipment to Brazil. Note that duty free request will only cover exemption of 2 types (I.I & I.P.I) of import
duties charged by Brazilian government, but 3 other import duties(P.I.S, COFINS, I.C.M.S) will still be charged and no way to get
exemption
Return shipments might take approximately from 3 to 4 weeks to be re-exported back to origin after the show
Temporary admission bond terms are usually authorized by customs for a 30 days period and can only be extended if show which cargo
is officially destined to is prorogated or if cargo participates of more than one event in a row, in this case we need proof of participation
of each show individually.
Pack all goods securely in reusable boxes or wooden crates that are both durable and waterproof. If goods are packed in cardboard
boxes, please be advised that VENTANA SERRA SHOWS E EVENTOS LTDA cannot be responsible for any damages or losses that might
occur to the contents.
We strongly recommend to not shipping anything by courier services once they are not allowed to clear customs in Brazil. Neither
VENTANA SERRA SHOWS E EVENTOS LTDA nor the show organizer is responsible for possible problems if you use courier services.
Brazilian authorities have issued requirements for imported solid wood packing material (SWPM). All wood packaging must be treated
and marked which certifies the approved treatment on two opposite sides of the WPM. The Mark should contain the valid symbol
approved by IPPC, country code, unique number of the producer / treatment facility designated by the National Plant Protection
Organization (NPPO) of exporting countries and treatment methods (HT, MB).

This includes crating, pallets, cases, skids & dunnage. Shipments packed in non-treated & marked wood material will not be permitted entry by
Brazilian Customs, and will be re-exported. WPM without approved mark = Treatment, Disposal or Return to origin country.
