Please Note:
This guide to the Timor papers of the late Dr Andrew McNaughtan was prepared during two
intensive weeks of work in 2006.
This guide is the one available to researchers at the Mitchell Library in Sydney where the
collection is housed for public access.
I am preparing an alternative version of the guide which will offer a more accessible thematic
or subject approach to the collection (rather than the present simple ‘box list’ of contents).

These notes explain the format of the listing of documents in folders. See Appendix 1 (Page 23) for
documentation on listing of photograph collection.

All document folders in this collection are housed in standard ‘Type 1’ archive boxes - numbered in
pencil.
Folder Number
A running sequence of numbers for easy folder identification from the printed list. These numbers
are recorded in pencil on the top left-hand side of the folders.
Folder Title
Folder Titles are recorded in pencil on the top right-hand side of the folders. Existing filing system
folder titles have been retained and recorded here as written. Unlabelled folders or unsorted piles of
material have been given a title during the sorting process. These file titles are enclosed in [square
brackets].
Size
Indicates thickness of folder or other container. Measured by eye to the nearest half centimetre and
recorded as a rough guide to amount of material in folder. 0.0cm indicates size was not measured.
Date Range
Expressed in years to describe the earliest and latest year on contents of a given folder. These
should be seen as guides rather than accurate statements. Where year is uncertain or was not
recorded, this is shown as '0'.
Content Summary
Only a rough guide to contents of folder. This descriptive area may also contain some clarifying
notes on folder titles, location, state etc of the material.
Item Listing
Lists some more detailed contents of a folder; may include individual documents and/or groups of
items. Listing is somewhat selective and should be seen as a non-exhaustive. Numbers indicate
order of items in folder as found in February 2006.

Appendix 2: Notes on Collection content, arrangement and description
Original order
The arrangement of the materials as documented here reflects only some of the
original order of the materials as housed and used by their owner and creator, Dr
Andrew McNaughtan.
Some time after Andrew's death in December 2003, his Timor materials were
gathered into cartons and removed to a commercial storage facility. This packing was
probably not done with archival principles in mind, though it might be expected that
originally co-located materials would largely be packed together.
In late 2005, former Timor colleagues of Andrew were invited to examine and do a
preliminary listing of the content of the cartons. There may at this time have been
some re-allocation of and repacking of materials.
Present order
The materials as presented to me for arrangement and description in February 2006
were processed in this way:
1. All materials found in labelled folders (several different groups) were preserved as
found. Items in filing cabinet suspender folders were transferred to manila folders and
give the same label (where extant) as the original folders.
2. All uncontained, disordered materials (several cartons) were sorted into rough
categories which reflected either existing folder names (in 1. above) or major themes
present in the collection (such as Correspondence, Timor Gap / Oil, Photo exhibitions,
Balibo killings, Timor Aid).
This 'category sorting' was done on a carton-by-carton basis. Materials from a given
carton were not combined with similar materials from other cartons – resulting in
several folders with the same heading or theme (and which were distinguished from
each other by numbers - see for example the 'Media' and 'Correspondence' series of
folder headings in Boxes 7-9).
Other materials
The materials described here do not account for the total collection of Dr
McNaughtan's East Timor materials. Other elements are:
1. A significant collection of original and derivative audio-visual material currently
housed with the National Film & Sound Archive (documentation in preparation).
2. An extensive set of electronic documents and email files (1997-2003) from Dr
McNaughtan's computers. Significant elements of printed documents and emails are
scattered through the physical documents described here. Preliminary work has been
done on listing the electronic materials. Decisions to made at a later date on access to
these files.

Appendix 3: Notes on Photograph collection
1. Original order
This photograph collection was presented to the archivist in a state of high disorder. With the
exception of a few elements in the collection being in defined packets or albums, most were
bundled together in a complex mix of formats (prints, negatives, 35mm slides) and
provenance (original images from multiple - sometimes unidentifiable - sources, mixed with
derivative copies).
The arrangement of materials here does not reflect, to a large extent, the original order of the
photographs as presented for processing.
2. Present order
In order to make some sense of the content, and to assist retrieval, it was necessary to create a
largely 'artifical' arrangement of the material. The 'IDs' and 'Titles' were created for this
purpose; they were not present in the original collection.
The following 'protocols' were applied to achieve this present order.
a.) Pre-existing 'sets' of photos were retained intact.
Examples: Px 06, 07 (found in small plastic albums); Px 45 (slides originally found in
Lever Arch Folder).
b.) Other 'sets' were created using evidence of image content & quality as well as annotations
on reverse side of prints (labels, numbers, print-shop data).
Examples: Px 08-12 (hand-annotated on reverse with alpha-numeric identities); Px 03
(unique typed labels on reverse of prints).
c.) Stray images were reunited with unambiguously identifiable 'sets' at a.) and b.) above
d.) Images not allocated to particular sets, were grouped together by 'theme'.
Examples: Px 21 – 'Defiance'; Px 22 – 'Violations'.
e.) Attempts were made to identify and separate original source images from derivative
copies made by AMcN for exhibition purposes.
f.) Where possible, attempts were made to identify original source images for AMcN's largest
and most circulated photo exhibition (table data refers to 'exhibition identities' in the form of
Y## - Y denoting yellow sticker; ## denoting the number in the exhibition sequence).

It would certainly be possible to achieve a finer, perhaps more accurate re-arrangement and
identification of the collection using these protocols. Any shortcomings in the arrangement
and description found here reflects the necessary limitations of time allocated to the task.
3. Removed items
What remains in this collection represents approximately two-thirds of the original bulk of
the collection. The other third has been withdrawn – being (largely) duplicates or materials
identified as belonging to third parties.
