III AEICBAS BIOMEDICAL CONGRESS 2014/2015 POSTER SUBMISSION REGULATION 2014-2015 Article 1 Introduction 1. This competition aims to encourage, recognize and reward students' achievements in scientific and clinical research. 2. Only original research work is accepted. 3. There are five main areas for poster submission: Medicine, Veterinary Medicine, Aquatic Sciences, Biochemistry and Bioengineering. a) There are no sub-themes restrictions within these areas 4. After the candidates submit their abstract, and during the evaluation period, the Organizing Committee (OC) will choose the most suitable area for each abstract. The candidate will be informed at the time of the admission notification. Article 2 Authors 1. Each original research work may have several authors, provided the first author is an undergraduate student. 2. Each candidate may only submit one poster for consideration. 3. The author is required to be present and to present his poster during the congress at the time appointed to him by the OC. Article 3 Registration 1. The registration should be submitted to [email protected] until the 28th of February 2015 with the following information: a. Course and Faculty c. Contacts (email and phone number) d. Poster 2 . Candidates will be notified of the results of the abstract evaluation until the 5th of march 2015. Article 4 Application and Admission 1. The candidate should register the poster, including all the author(s)’ name(s) and affiliation(s). 2. The poster should be written in English (maximum of 2000 characters, including spaces) and should have the following format: title, introduction, objectives, methods, results and discussion/conclusion. After the submission deadline, posters will be reviewed by the jury members. 3. The poster should be written and presented in English. The maximum poster size is A0 format (1188 mm x 840 mm) and all posters should be printed in a vertical orientation. 4. The jury will determine if the abstract is admitted or rejected according to the quality of the poster or if it fulfils all the requirements stated in 2 and 3. 5. The printing costs are the candidates’ responsibility. Article 5 Jury 1. The jury is composed of two investigators of each area and the President of the Jury (who is also the President of the Scientific Committee), these will be further ahead announced in our website. 2. The Jury members cannot be authors of the posters submitted for competition, nor have been involved in their creation in any way. 3. The Jury’s decision is sovereign and cannot be appealed. The posters accepted for the Poster Presentations should be presented to the Jury by their authors during the coffee-break of the 20th or 21st of March 2015. Active participants will be informed about the presentations program and schedule in due time. 2. Each presentation should be 10 minutes (maximum) long in English. 3. Presenting students should set up and take down their posters during specified times before and after the congress announced by the OC. 4. If the candidate does not show up to his/her own presentation is disqualified. 5. If the candidates do not retrieve their posters within the appointed time, they will be removed for them and disposed of. Article 7 Awards 1. The best Poster Presentation of each area established (article 1, point 3) will receive a monetary prize. 2. The first prize is valued in 200 (two hundred) euros, for each winning poster in each area. 3. Certificates of Poster Presentation will be provided to all participants after the congress. 4. The winners will be announced publicly in an award ceremony during the Formal Dinner on the 21st of March. a) If the candidates are not present to receive the prize during the event, they are required to reclaim it until 10 (ten) days after the announcement – they will be notified by e-mail in case they are not present at the Formal Dinner. The OC reserves the right to refuse posters after being approved by the jury if proven not to be original work. 2. The OC reserves the right to refuse all posters that do not fulfil the conditions required by these guidelines.
