Technical preconditions
You can use the work group server (BSCW) of the VZM GmbH with every browser which offers
strong encryption (minimum requirements are Netscape 4.7, Internet Explorer 4 und 5, Mozilla
or Opera).
JavaScript must be allowed and activated in the browser chosen to be able to use the surface of
the BSCW.
As further precondition it is necessary that you can build up a secure internet connection
(http(s) = connection via Port 443).
If these preconditions are fulfilled you can access the server via URL https://vzm.bscw.de/.

Log-In
If you have typed the address or chosen it from your bookmarks / favourites, you will then see
the starting screen. Now choose the link “Login” in the center of the screen.

On the following site, you will be asked for your username and a password.

After entering the correct strings (Important advice: case sensitivity) your personal screen
display and the shared project folders open.

For security reasons you shall receive your access data in two steps. After we have activated
your BSCW account, we will send you an e-mail with the URL and your username. The
necessary user password is transmitted to you personally by phone. Further information are
part of the mail the BSCW-team sent you.

Change the password
You must change the password transmitted by phone after the first login for the following
reasons:
1. The security level of the initial password is very low.
2. The password should be known only by the owner of the account because all of his/her
activities on the BSCW server shall be registered and saved in log-files.
Your password must consist of at least 6 signs. A safety password is a combination of letters,
numeric and special signs. Upper and lower case is permitted. To change your password
proceed as follows:
1. Select „Optionen – Passwort ändern“ on the menu bar.
2. You are then asked to enter your current password first. In the second and third position you
have to type your new password and confirm with a click on the „OK“ button.
3. Now you have to log-in again with your new password.
Should you forget your password or enter the wrong password three times, your account will be
blocked automatically. In this case please contact our BSCW-team by phone +49 228 96293-92

Folder system
Do not place data in your main directory (:Mustermann), because there other members of
BSCW cannot see your entry. To upload data on BSCW, you first have to open the
corresponding project folder.
To view the documents in the project, switch to the respective project folder.
A click on a project folder opens the project (example: 001-Musterprojekt/) and the following
folder hierarchy is displayed (picture 3).
There you can create own folders you might need or use the folders already available. Beneath
this level (001-Musterprojekt) you can upload your own data or download data from project
partners.

Documents
UPLOAD:
To place data/documents in the right position so that they are available to all project members,
please select at first the folder. If you are in the right folder you can open the file manager via
the blue menu bar „Datei – Neu – Dokument“ and insert a document.

Then the following window opens:

1. By clicking the button „Durchsuchen“ the file manager opens. Please select the
file/document you want to upload on BSCW.
2. Other entries are not necessary.
3. A click on the button „ok“ completes the operation.
The selected folder or document is now visible and available to each authorized member of the
project.

Uploading of several documents in one step
Drag & drop - function
To upload several files or documents in just one step you must be certain, that your browser
supports Java.

1. Click in the menu bar to „Optionen – Einstellungen“
2. Select „Drag & Drop-Uploader zur Dateiübertragung“ and acknowledge.
3. In the file manager select all files/documents you want to upload.
4. By clicking and holding the right mouse button you draw the selected files to the link
„Dokument hochladen“ and then release the mouse button.

5. The upload will be started. The status of the uploading process is shown on a coloured bar.
6. The maximum volume per transfer is 6 MB.
After this operation the files/documents are shown to all members of BSCW authorized for this
project folder.

To open a document
Documents to which you have authorized access, can be opened by clicking on the document
name. It will open if you have a compatible program in your system. Otherwise the program is
offered as download.

To save a document
To save a document you must click on the selected document, which is going to open. Then
you can save it as you usually do, just by selecting “save file” in the file manager.

To customise your personal settings
The BSCW Server offers several personal settings and levels (Anfänger, Fortgeschrittener,
Experte). Our advice is to choose the level „Experte“, because then you have direct access to
all functions and buttons.
In the menu bar you go to „Optionen - Niveau – Experte“.

To subscribe to event services
You can define several possibilities how to be notified by mail about events in your project
(upload of a file, deleting of a file etc.).
Click in the menu bar on „Optionen - Standard-Ereignisfilter“.

If you activate your settings according to the following example, you will receive an immediate
e-mail report of any transaction (uploading, deleting etc.) to any project member in your
personal project area.

Alternatively, according to the following example you will receive a daily e-mail report
(generated at midnight) about any transaction of the previous day.
