ECMS Manual The Exhibitor-Content-Management-System (ECMS) The following pages will provide you with a guide explaining how to use the ECMS. Logging in – accessing ECMS from OBS ECMS, our Exhibitor-Content-Management-System, allows you to present your company effectively on the trade show website. Potential new customers can contact your business, and you can create a lasting impression before, during and after the event. Use your OBS access data to login to the OBS portal at http://obs.messe.de . You should have received your access details with the written confirmation of your stand reservation. If you do not have it to hand, you can obtain your ECMS login information separately by contacting the Media-Service. Please kindly note that in this case, your ECMS login details will not provide access to the OBS portal. Once logged into OBS, click on ”Order services“ in the lefthand navigation bar, and then on ”Services“ below it. An overview will open in the middle of your screen. Click on the section ”Highlighting your company (ECMS)“ to go to ”Company & Product Information“, and you may find a direct link to the ECMS (”Open ECMS“´button at the left corner of the section window). The section Company & Product Information also contains the contact details of the Media-Service. This department will assist you if you have any inquiries. The media entry – present your company and your products After logging in to the ECMS, you will be directed to your media entry overview. Below your master data (e.g. event year and order number) you will find nine catogeries for an optimal business presentation: Category overview: 1. Company description incl. corporate video 2. Products/R&D-projects/Services incl. product groups 3. Contacts 4. Stand information 5. Fields of business activity 6. Print logo 7. QR-Code 8. Internet press box 9. Invitation management Each category can be opened and edited by clicking. After having finished, just click on “Save”. Company description incl. corporate video Enter all relevant information about your company here. Click on ”Edit“ to open the data input form . In this section, you can add the following details about your company: Company logo Cover picture Company name Company slogan Company profile Corporate video Address and general contact details Social-Media links PDF downloads (e.g. company brochures) and more We recommend to you to provide all information in both German and English, in order to reach the maximum number of trade show visitors. Company description incl. corporate video Enter all relevant information about your company here. Click on the ”Upload new logo“ button to add your corporate logo to your profile or choose one from the archive. By clicking ”Upload new cover picture”, you can assign a cover picture in addition to your corporate logo . Enter all the information about your company in the appropriate text fields. You should save changes by clicking on ”Temporary save“, before adding new entries. To add PDF file(s), simply click on ”Upload new PDF file“, and select the required file(s). If you would like to add information on your company’s other office(s), click on ”Add new branch“. After having saved the information by clicking on ”Save“, you will be automatically redirected to the overview page. Please note that some fields may have already been completed with information that you provided when registering as an exhibitor. Company description incl. corporate video Videos help generate interest in your business and your products assign them to your media entry. To upload a corporate video, please click on ”Add “. In the next step ”Upload new video” you may then choose the file you would like to present. Besides this, you can enter the following information: Language (German or English) Title Descriptive text (ger/en, max. 250 characters) b) After uploading and saving the video, you will be redirected to your basic entry. Here you have to assign at least one fitting keyword /tag by clicking on “Edit“. Afterwards, you will get back to your basic entry by clicking on ”Save“ again. Products/R&D-projects/Services incl. product groups Along with the company description, your Products/R&D-projects/ Services make up the core component of your media entry. They maximize the visibility of your business, as the product group directory will direct visitors to suppliers of the Products/R&D-projects/ Services they are interested in. 2.2.1. Create Products/R&D-projects/Services Click on "Create new entry“. You will be directed to page 1 of the data input form (see next slide). To successfully complete the creation of your Products/R&D-projects/Services, you must assign min. one and max. four product group(s) to it. If this step is not completed, the entry cannot be published. 2.2.2. Assign product group(s) b) Product groups can only be assigned to your media entry if a Product/R&D-project/Service has been created before. To assign product groups to your Product/R&DProject/Service, please click on the ”Edit“ button beneath the Product/R&D-Project or Service. Create Products/R&D-projects/Services Along with the company description, your Products/R&D-projects/ Services make up the core component of your media entry. They maximize the visibility of your business, as the product group directory will direct visitors to suppliers of the Products/R&D-projects/ Services they are interested in. Create new product – Step 1/3 First, you may enter all the information about your product, such as name, slogan, description and product URL to your website. Furthermore, you can select if this product is a trade show premiere by clicking the check box provided. Click on ”Save and continue to page 2“ to move on to the next section. b) Create new product– Step 2/3 First select a main picture. Afterwards, you can add up to six further pictures to the product. To upload PDF file(s), simply click on ”Upload new PDF file“ and select the required PDF file(s). Click on the ”Save“ button to save the updated information. Assign product groups Trade show visitors frequently use the product group search function on the trade show website to identify exhibitors and products that are relevant to them. Visitor service staffs on site also use this tool, so it is not possible to publish your media entry unless it has been assigned to at least one product group. Assign product group(s) – Step 3/3 Select a product group from the provided list, and assign the selected one to the product by clicking on ”Add“. Alternatively, you can enter key word(s) in the provided field to search for an appropriate product group or you can download the product group index as a PDF document. Max. four product groups can be assigned to each product. After clicking on ”Save“, you will be redirected to the overview page. Contacts in your company Here you can enter the details of contact person(s) at your company. This enables potential customers to get in touch with you even before the trade show begins since many attendees use the website to plan their visit. Click on ”Create new contact person“. A data input form will be opened. Fill in all relevant information, e.g. appellation, name, position, etc. Save the entered information by clicking on ”Save“ button. b) Contact Media-Service: Phone +49 511 89 35550 (Mo.-Fr. 9 a.m. - 6 p.m.) | E-Mail: [email protected] 9 2.4. Stand information Enter the topic of your stand here, along with a description of your stand. To enter information, click on ”Edit” in the field of ”Stand information“. You can add your stand topic and stand information to the data input field opening now. In the section ”Topic“ you can name your stand concisely. In the ”Stand description”, you may briefly introduce innovative and new products that you will showcase during the trade show. You can provide the information in both German and English and save them by clicking on ”Save“. Hint: The “Edit” button will not be shown for co-exhibitors of special or joint stands. Here, the topic may only be entered by the organizer. If you have many different stands at the trade show, please indicate your main stand by checking the box. Fields of business activity – industries and regions To which industries are your products relevant? Make your company even easier to be found on the trade show website by specifying your own industries and the industries you are targeting at. You can choose up to five source industries and up to ten target industries by simply clicking on them in the provided list. In addition, you can also specify your target regions and countries. To enter information, click on ”Edit “ in the section ”Fields of business activity“. b) Please note that the information entered in “Fields of business activity” will not be shown on your media entry. Fields of business activity – industries and regions To which industries are your products relevant? Make your company even easier to be found on the trade show website by specifying your own industries and the industries you are targeting at. To choose a source/target industry, select an industry by clicking in the provided list. Alternatively, you can search for a specific industry by typing a search term in the provided field. b) Target region(s) can be selected by clicking directly on the chosen region(s). If the target region is insufficiently precise, you can add individual target countries. Click on the country required, and then on ”Add”. After clicking on ”Save“ your entries will be uploaded and you will be redirected to the overview page. Please note that the information entered in “Fields of business activity” will not be shown on your media entry. It will only be used for the search engine on trade show website. Additional products in ECMS (chargeable services/fair-packages) In addition to the basic media entry covered by the marketing charge, there is a number of further marketing options available which you can order in OBS. After having ordered successfully, the additional products can be administered in ECMS. You will find the following four additional modules below those included in the marketing fee: Print-logo (Company logo in the printed directory and/or in the hall plan) QR-Code (QR-Code in the printed directory and/or in the hall plan) Internet press box Invitation management (for eTicket campaign) b) These four services, offered in addition to those services included in the marketing charge, enable you to set yourself apart from competitors and to strongly attract the visitors’ attention. These services can either be a part of your fair package or need to be ordered at extra charge via OBS. If you did not order any of these services, and if they do not belong to your fair package, you will be shown the hint ”Please order ... via OBS “. By klicking on ”OBS“ you will be forwarded to the platform where you may order all services desired . Check and publish – your entry in the online exhibitor index To complete your media entry, you must check and confirm the information you have entered. Your exhibitor entry will then be submitted to the Media-Service for review and publication. You will find the buttons ”Check” and ”Publish now” above your media entry. By clicking on “Check”, you will find an overview of your entry showing all information you assigned to your media entry and allowing to check again. Alternatively, you may send your media entry directly to the Media-Service team by clicking on ”Publish now ” button. Check and publish – your entry in the online exhibitor index To complete your media entry, you must check and confirm the information you have entered. Your exhibitor entry will then be submitted to the Media-Service for content check. After that we will publish your data. Before publishing your media entry you can check all data entered in the overview. Click on “Download as PDF“ to save your modified media entry as a PDF file. By clicking “Back ”, you will be forwarded to the moduleview of your media entry. Use ”Print “ to get a print-version of your media entry. If you are satisfied with the details entered, click on ”Publish now“. b) Your media entry will be submitted to the Media-Service team of the Deutsche Messe. It will be checked and released for its publication on the trade show website within the next four working days. Once your entry has been published, you will receive a confirmation E-Mail from the Media-Service, with a direct link to your entry on the trade show website. It is of course at any time possible to do further changes and additions by yourself. You are able to do so the whole year. Hint: This is not a preview of how your entry will look to site users. It is intended solely to enable you to make a final check of the information you have provided.
