PRESENTATION
This Manual sets the organizers and exhibitor’s Rights and duties. It contains the rules, technical and operational
orientation regarding the assembling, event and dismantling periods that must be respected by the exhibitors, employees
and/or third parties.

1 - General Information
1.1 - Registration/Invitations
Exhibitor’s badges are free and valid through the entire duration of the event. Requests must be done through F 2 (form
# 2) - Deadline February 10th. Additional badges must be requested in headed paper for organizer’s approval before
assembling begins, after that no additional badges will be issued.
10 invitations per sqm will be sent to all exhibitors.
1.2 - Parking
Cars
The parking lot is administrated by E PARK . The exhibitor can buy up to two private transferable cards, valid
through the whole duration of the event for USD15,00.
Trucks
Pick-Ups, vans, etc, will not pay for parking during assembling and dismantling however permanence will be
limited:
Heavy trucks - up to 2 hours,
Light trucks- up to 30 minutes
Picks-ups - up to 1 hour.
After that Trucks will pay USD 4,00/ hour and pick-ups USD 4,00/period.
Price for visitors USD 4,00/day.

A medical center will be located at the service area during the event with an ambulance to serve both visitors and
exhibitors.

2 - ASSEMBLING RULES

2.2 - Hours
Assembling
March 10th to 12th - from 8am to 10pm
All stands must be ready until 10pm of march 12th. This day is destinated to final ornamentation.
Event
March 13th to 15th - from 2pm to 8 pm
During the event exhibitors have full access.
Dismantling
March 16th – from 8am to 6pm
All materials must be removed from the exhibition center until 6pm of March 16th.
Exhibitors are responsible for dismantling and removal of all their products in the time and conditions stated.
Penalty for delay will be USD 300,00 / hour.
Employee must be kept during this period until final withdraw of all exhibitor’s belongings.

2.3 - Space Only/ Stand Contractor
Exhibitors must present the hired stand contractor through forms F.3 (Stand contractor badge/Fees) and F.4 (Liability
Term) - Deadline February 10th. The stand contractor can only request registration after forwarding these documents
and the stand project for approval.
2.4 - Stand Contractor Duties
The project must come in two copies with the minimum scale of 1:50 (floor plan and elevations).
If during assembling the construction of the stand is different from the approved project the organizer will stop it immediately
In neighbour stands where the partition wall exceeds 2,20m high, the exhibitor/stand contractor is obligated to give white
finishing to the wall.
No elements can exceed the stand limits and it’s forbiden to fix any element directly to the floor, columns, walls or other
structures of the exhibition center.
The streets can not be used as deposit for any kind of material, hardware or products. All operation must be done inside
the stand area.
Stand maintenance and delivering of goods can only be done from 8am to 1pm.
The assembling and dismantling schedule must be fully respected so it’s forbidden to construct stands that may exceed
this schedule and compromise the assembling process.
Air conditioning machines in stands must consider a minimum distance of 1m in relation to the corridors with pedestrians
transit; Air exits must be directed to top of the pavilion because of the heat produced and it’s mandatory to use drainage.
The carpet fixing directly to the floor must be done with dobleface tape (3M ref.4880, or Similar ) that must be removed in
the dismantling. It’s forbidden to fix carpet with glue, if this rule is disrespected the organizer will charge USD 10,00 /
sqm.
Stands with wood platform must have an access ramp of 1m width destinated to disabled persons.
The stand contractors that disrespect any of the rules will be formally informed and will receive a USD 20,00/sqm fine
after dismantling. A secutiry check of USD 500,00 is mandatory for special contruction that uses wood, iron, gypsium,
etc..

2.6 - Maximum Weights
Before choosing the equipment to be exhibited please observe that:
- The maximum weight limit per sqm is 1.500Kgf.
- Access gates measures are 5.00m(wide) x 5.50m(high)
2.7 - Stand Maintenance/Supplying
Stand maintenance during the event must done from 8am to 1pm only by those with badges authorized for maintenance.
This Authorization must be requested during the assembling period in the security department.
2.8 - Damages
Remember that the exhibitor is responsible to make up for any damages caused to the exhibition center structure, by
representatives of the company, it’s agents or any hired third parties.
It’s forbidden to finish parts of the stand structure inside the exhibition center.
If the stand contractor needs to use any electrical machines or equipments a written authorization must be requested.
To guarantee the security of exhibitors, visitors and service suppliers the organizer reserves the right to stop at any

3.1 - Material Handling / Delivery
The material delivery and withdraw must be done through Av. Miguel Stéfano altura do no 3000, entrance # 02.
It’s not permitted to park trucks in the common areas of the exhibition center, after unload all trucks must leave the area
immediately, otherwise will be fined as stated in the item 1.2 Parking of this manual.
The exhibitors are responsible for the delivery and withdraw of all materials and equipments of the stand.
Material and product handling inside the pavilion must be done by the official company hired by the exhibition center.
Any kind of light transportation device must be equipped with rubber wheels to circulate inside the pavilion.

3.3 - Demonstrations
The equipments must have a warning sign when in operation. All equipment that work under pressure must attend the
security patterns. It’s necessary to give acustic treatment to material and engines in order to get approval as stated in the
ABNT pattern # 10152 from december of 1987.
IF A PRESENTATION/ DEMONSTRATION DISTURBS ANY EXHIBITOR OR OBSTRUCT A PASSAGE TO OTHER
STAND, THE ORGANIZER RESERVES THE RIGHT TO CANCEL IT.

3.4 Insurance and Responsibilities
The organizer contracted a liability insurance that covers eventual loss and damages during the event however the
stands, the products as well as the exhibitor staff is not covered.
We recommend that the exhibitor contract an insurance covering all risks including, fire, explosion, robbery, accidents
and the material and it’s transportation.

It’s mandatory one fire extinguisher for 20 sqm of the stand.(Powder and CO2 are recommended).
If this rule is not respected a USD 400,00 fine will be charged.
Exhibitors can bring their own fire extinguishers or rent the equipment for USD 20,00 for the whole period of the event..
3.6 - Flammable Liquids
The exhibitors are responsible for the secure use and deposit of flammable substances, as well as to isolate areas of risk
and trash deposits.
The exhibitor that desobey the rules regarding flammable substances may be fined by the local authorities.
3.7 - Sonorization / ECAD
In case of live music, audiovisual, and amplifiers authorial rights must be paid to:

The program with shows, presentations or artistic attractions must be sent in advance for approval through
Form # 9. The organizer will set specific hours and conditions to the its realization. The desrespect of these
rules will implicate in a fine of 50% of the stand total amount. This fine will be charged during the event and
if not paid the stand will be shut down.
3.8 - Sponsorship and Merchandising
The company that exceeds the sound volume, desrespects the right of press divulgation or acquired rigths through
sponsorship quotes of other companies will be fined in 50% of the total stand amount. This fine will be charged during the
event and if not paid the stand will be shut down.

Minimum installation and consumption of 1 KVA for USD 25.00 is mandatory
The exhibition center does supply 380V, if nbeede the exhibitor must provide a transformer.

The electrical installation must attend the pattern NBR 5410 - Electrical installation in low tension.
1 - By the exhibitor’s request will be installed in the stand one or more electrical points for illumination and equipment
operation. For technical reasons, the exhibition center is the exclusive responsible for supplying and connection from the
distribution box to each stand.
2 - It’s responsibility of the exhibitor or stand contractor to complete the electrical installation in the stand with compatible
protection fixed in an easy access space to the maintenance staff of the organizer.
3 - the pavilion demands that the exhibitors / stand contractors provide protection to metal structures to prevent electric
shock.
4 - the electrical energy will be supplied in KVA for the period of the event. energia elétrica será fornecida em unidade de
KVA não fracionada, pelo período de realização do evento. Lamps, air conditioning machines, etc, must be 220V.

5 - The request must be done through Form # 6 - Electricity and hydraulic -deadline - February 10th.
During the event, electrical engineers will verify all stands to check installation and electricity consumption.
If there is any difference from the electrical amount requested, this difference will be charged.

The official company is responsible for the common areas of the event, if the exhibitor needs a guard in the stand the

The official cleaning service supplier is responsible for the common areas of the event.
As from 8am of March 13th will begin the general cleaning operation in order to start the carpet installation.
On this day the organizer requests that the streets are free of materials or equipments, otherwise the cleaning staff will
remove them without integrity guarantee of the materials.
Claening service is optional and can be contracted through Form # 6 - Deadline February 10th for USD 2,0/sqm.
This service will be done from 8am to 1pm during maintenance hours, every day.

The staff must wear badges at all times. It will not be allowed circulation without badges.
F 2B - VIP Badge - Deadline February 10th
Exhibitors can invite the 15 most important clients to visit the EXPO VENDING & OCS as VIP.
F 3 - Stand Contractor Badge/Fees - Deadline February 10th
For space only stands, the stand contractor must present forms 3, 4, 5, 6 e 9. The space will only be liberated after all
documentation is presented and fees are paid. It will be offered 4 badges for each 12 sqm, additional badges will be
charged USD 1.00 each. The assembling cleaning fee have a cost of USD 1.50.
F 4 - Liability Term - Deadline February 10th
Without this form the stand contractor can’t initiate the assembling. If the exhibitor chooses the Official Stand Contractor
this form is unnecessary.
F 5 - Service Badges - Deadline February 10th
Each service contracted by the exhibitor must be presented in this form.
F 6 - Electricity, Hydraulic and Cleaning
- Deadline February 10th

SHOW, PRESENTATION AND ARTISTIC ATTRACTION SCHEDULING AND APPROVAL
The program with shows, presentations or artistic attractions must be sent in advance for approval through
Form # 9. The organizer will set specific hours and conditions to the its realization. The desrespect of these
rules will implicate in a fine of 50% of the stand total amount. This fine will be charged during the event and
if not paid the stand will be shut down.
The company that exceeds the sound volume, desrespects the right of press divulgation or acquired rigths through
sponsorship quotes of other companies will be fined in 50% of the total stand amount. This fine will be charged during the
