TRANSCRIPT OF RECORDS FOR EXCHANGE STUDENTS AT LMU MUNICH After completion of the study program at LMU all exchange students will receive a transcript of records in which all grades and ECTS credits are listed. The transcript will not be issued automatically. Each exchange student is responsible for initiating his/her transcript process. The procedure varies depending on which faculty/department you are studying in: 1. Transcript issued by the faculty / department courses taken predominantly in the following subjects: – Business Administration – Economics – Informatics/ Media Informatics – Law – Medicine 2. Transcript issued by the International Office courses taken in other disciplines If you have taken a combination of courses from both the above groups you will receive two transcripts of records. You therefore have to proceed as follows: 1. 2. 3. 4. Create a timetable by means of LSF Create an ECTS Credit Form Ask your lecturers to sign off your grades and ECTS credits in the ECTS Credit Form Bring the ECTS Credit Form to the International Office prior your departure On the next pages, the steps to be taken are described in detail. 3 1 HOW TO CREATE YOUR TIMETABLE Creating a timetable by means of LSF and all other steps mentioned above are essential to ensure that you receive a transcript at the end of your study period at LMU. You should create your timetable as soon as your final course choice has been made (i.e. in the first weeks of the semester). If you plan to stay at LMU for two semesters then you will have to repeat this process at the beginning of the second semester. 1.1 LOGGING IN TO LSF Change the language by clicking English version in the top right corner. Log in at www.lsf.lmu.de with your LMU user account ([email protected]). You will then see the page below. Exchange students have to create a transcript (“Notenspiegel”) by creating a timetable (“Stundenplan”) clicking on the function Schedules. The register Transcript is not available for exchange students. 4 1.2 CHOOSE THE CURRENT S EMESTER Click in the right hand corner and select the semester in which you are taking courses. 5 1.3 SELECT YOUR COURSES In the function Search for courses you can select your chosen courses. At the chosen course activate preselect and click on Add to schedule. The window with your timetable will then automatically open. Please then click on Save schedule to save before continuing to add your next course at Search for courses. ! It is very important to save your timetable very time you enter a new course. 6 1.4 FINDING GERMAN LANGU AGE COURSES You will the German language courses under Courses across faculties . To do this, click on Course catalogue in the menu bar and then on Courses across faculties > International Office > Deutschkurse. – – 1.5 If you have participated in March or September in a preparatory course of IUCM, DkfA or DUOonline, then select the language level of the preparatory course you took. If you are participating in a language course during the semester, then select the name of the course you are taking. The exact course title can be corrected when the transcript is issued. YOU HAVE BEEN UNABLE TO FIND A COURSE IN LSF In a few cases you may be taking a course which is not listed in LSF. If that is the case the course can be added manually at a later date (see Fehler! Verweisquelle konnte nicht gefunden werden.). However, if you have a course number, go to Search for courses and enter it at Number of course. The course should now appear. 1.6 COURSES WHICH RUN OV ER TWO SEMESTERS It is important that in step one you enter all the courses from the first semester (see 1.2 – 1.5). For the second semester you should begin anew with step 1.2. Do not forget to save all entries! In the timetable view (Schedules) you can view all the marked courses per semester. Then you will be able to create the ECTS Credit Form for the appropriate semester (see Fehler! Verweisquelle konnte nicht gefunden werden.). 1.7 YOU ARE NOT TAKING A NY COURSES AT LMU If you have not taken any courses during your stay at LMU but have, for example, been researching for your final dissertation/project or have been doing an internship in a laboratory and you need a transcript, please come to the International Office. Please bring some form of confirmation of your activities from your academic supervisor with you. A transcript will then be issued without specifying grades and ECTS credits. 7 2 CREATING AN ECTS CREDIT FORM 2.1 CREATING AN ECTS CRE DIT FORM In order to create an ECTS Credit Form, go to the function Schedules and click on the button ECTS credits form (PDF). All of your chosen courses will be listed in the ECTS Credit Form. Should a course, that you previously selected, be missing, then you have forgotten to save your timetable. Select the course again and in the view Schedules click on the button Save schedule. Then create the ECTS Credit Form again. Now you will see that all courses are listed. 2.2 EDITING THE ECTS CRE DIT FORM The ECTS Credit Form is a Word document. Please proceed as follows: 1. Enter the address to which the transcript should later be sent. 2. If you could not find courses in LSF, you can now enter them manually by adding a line or, if you did not take a course as initially planned, you can now delete it. 3. Print the ECTS Credit Form. 8 2.3 WHAT TO DO AFTER CRE ATING THE ECTS CREDI T FORM You do not have to take any further action until the end of the semester. When you have finished your exams, you have to have your grades and ECTS credits confirmed on the ECTS Credit Form. If you have been unable to complete a course that you started at the beginning of the semester, you can delete this course manually from the ECTS Credit Form. 2.4 GETTING YOUR GRADES AND ECTS CREDITS INTO THE ECTS CREDIT FORM The procedure for collecting your grades varies from department to department. 2.4.1 In the department all your grades are collected by the exchange student coordinator In some departments the exchange student coordinator will collect all the exchange student grades centrally (i.e. all lecturers in this department will inform the student exchange coordinator of your grades and ECTS credits. You should give a copy to the coordinator (see table below). The coordinator will then send your grades and ECTS credits directly to the International Office. All you have to do is then hand in a copy of the ECTS Credit Form to the International Office (see Fehler! Verweisquelle konnte nicht gefunden werden.) If you are taking courses in different departments, you may have to proceed in different manners accordingly (see Fehler! Verweisquelle konnte nicht gefunden werden.). 2.4.3 You are taking courses in different departments As not every department has a coordinator, you will have to proceed differently depending on the department. Let us clarify with the following example: Example: You are taking 10 courses of which Courses Department What should I do? 3 courses English Give a copy of the ECTS Credit Form to Helga Quadflieg. All courses which are not from the English Department will be scored out 2 courses German Philology Give a copy of the ECTS Credit Form to Claudia Agne: All courses which are not from the German Department will be scored out 2 courses Romance Studies Contact each lecturer directly and have the grade and ECTS credits added directly to the ECTS Credit Form. 3 courses Education Contact each lecturer directly and have the grade and ECTS credits added directly to the ECTS Credit Form. According to this example you would make three copies and give a copy each to the coordinators (English and German Philology). With the third copy you would collect your grades and ECTS credits from each individual lecturer in the Department of Romance Studies and Education. When you have everything you then come to the International Office – see step Fehler! Verweisquelle konnte nicht gefunden werden.. 10 3 AT THE END OF THE SEMESTER – SHORTLY BEFORE DEPAR TURE 3.1 HANDING IN THE ECTS CREDIT FORM TO THE INTERNATIONAL OFFICE At the end of the semester the International Office will have special opening hours for issuing transcripts. You should now bring your ECTS Credit Form to the International Office. This is vital! Without the ECTS Credit Form we cannot issue the transcript. The incoming student team will discuss your ECTS Credit Form entries with you and take note of any courses where you still do not have your grade. 3.2 YOU HAVE TO LEAVE BE FORE YOU HAVE ALL YO UR EXAM RESULTS Should your lecturers not yet know your grades before you leave, they can send them at a later date by e-mail to the International Office. Please ask your lecturers to send your grades and ECTS credits to [email protected]. 3.3 ISSUING THE TRAN SCRI PT OF RECORDS As soon as all of your grades and ECTS credits are known we will issue your transcript. You can either pick it up in person or we can send it to the address you have provided. 11
